Renter(s) agree to the following:

The Collab may be used for legal activities only. There is absolutely NO SMOKING or DRUG USE in the building. Smoking is allowed outside the building. Renter is responsible for clean up of smoking-related debris (ashes, cigarettes, etc) before leaving.

REQUIREMENTS AND RESPONSIBILITY OF LEASING

The Renter assumes full responsibility of the venue during the times of use, including but not limited to:

  • Ensuring venue is returned to clean and working order after use.

  • Ensuring access to the venue is only for members of your party.

  • Proper use of equipment, facilities and furniture within venue.

Use of the venue requires the following in advance:

  • Acceptance of these terms and conditions

  • Payment in full for reservation.

  • Payment of registration fee and pro-rated first month's rent for monthly rentals.

  • Photocopy of Renter’s Drivers License and Liability Insurance Certificate listing The Collab Studios LLP as additional insured.

ARRIVE AND LEAVE ON TIME

The lease shall start and end as set forth in this Agreement; set-up and clean-up time must take place during hours reserved. If additional set-up and clean-up time is needed, please reserve time accordingly. A pro-rated charge equal to your rental rate will be applied for each additional 15 minutes that extends beyond original reservation term. Any additional time needed must be approved by management.

BE RESPECTFUL OF OUR NEIGHBORS

Be present at all times during the rental. Keep the event or session contained within the venue. Maintain adult supervision of minors at all times.

CLEANING, TRASH AND EQUIPMENT REMOVAL

The venue will be in a clean condition prior to your event. You will need to incorporate your set-up time and clean up time into the rental time. You are required to return the venue to the same clean condition in which it was found, including but not limited to the items listed below. If the items listed below are not addressed or extensive cleaning is required to return the venue to its original condition, a $100/hour cleaning fee will be billed and automatically charged to the payment method on file.

  • Clean up debris and/or visible food and drink spills from counters, shelves, tables, chairs, walls and floor.

  • All trash must be collected, properly bagged and removed by the Renter or the caterer.

  • Furniture, tables, chairs and studio equipment must be returned to their original locations.

  • All 3rd party equipment, supplies and food brought in must be removed by the schedule departure time.

STUDIO & EQUIPMENT SUPPLIES

The Collab agrees to provide the venue in good working order but makes no special guarantees as to said venue's functionality or suitability to Renter’s purposes. The Renter is entitled to use the entire studio, lounge space, lighting equipment, sound equipment, tables and chairs and any furniture in the studio at the time of rental. Provider is not liable for acts out of its control that affect usability, such as power outages, weather-related emergencies, or Acts of God. Renter agrees to return all equipment, studio, and furniture in the condition it was provided and to immediately notify The Collab of any damage, failure, or change in equipment provided. Please do not move any pieces larger than a single chair without two people present to move it without dragging the legs.

DAMAGE TO EQUIPMENT, FURNITURE, OR STUDIO

Renter is responsible for all loss or damage to the suite or suite's contents, up to and including actual replacement value of each missing or damaged item. Renter will be charged and agrees to pay for any repair or replacement of damaged or missing items caused by Renter’s employees, Renter’s contractors, Renter's clients, or any and all Renter's visitors. Renter agrees to leave the suite in the condition it was found, or a $100 cleaning fee will be assessed to the payment method on file. There is no warranty that rented items are free of defects. The Renter agrees that the Provider holds no liability for any damage or injury caused by use of rental items to Renter or any third party. The Renter assumes all risk of personal property damage or personal injury. If any accident involving the Provider's rental items has occurred while it is in the Renter's possession, Renter shall make the Provider aware by written statement of details of occurrence of event including police report and names and addresses of witnesses, if applicable.

LIABILITY

Renter agrees to get a signed Liability Release from all persons that will be on the premises prior to use of The Collab. The Collab will not be held liable for any injuries or accidents to the Renter, Renter's employees, Renter's contractors, Renter's clients, or any and all Renter's visitors that occur within or outside the venue premises. Renter is responsible for obtaining a signed Liability Release from all persons that will be on the premises prior to use of the venue.

Any insurance coverage the Provider carries does not extend to persons renting the venue or their guests.

The work, services or activity to be performed in the venue under thhis contract will be performed entirely at the risk of the Renter and Renter's guests, and the Renter assumes all responsibility for themselves and guests in the venue during the rental term or any time spent on the premises.

ALCOHOL POLICY

The Collab does not sell, serve or promote the consumption of alcoholic beverages. Any and all liabilities that arise from the consumption of alcoholic beverages or illegal substances are the responsibility of the Renter. All Louisiana State Laws and Federal Laws must be adhered to at all times.

PHOTOGRAPHY STATEMENT

Provider reserves the right to utilize or or post publicly any photos taken in or around our spaces that are shared online or sent to us directly for the purposes of marketing or promotion. Marketing and promotion can be in the form of social media, digital copy or print copy.

BUSINESS CANCELLATION POLICY

Business by the Hour: Businesses may cancel up to 7 days prior to reservation for a refund minus a 20% service fee. No cancellations within 7 days of reservation. Business Weekly/Monthly: Businesses leasing on a monthly basis require a 60-day written notice before a complete move-out. Recurring schedule changes require a 30-day notice and are subject to availability.

EVENT CANCELLATION POLICY

Free cancellation with written notice 30 days or more prior to reservation. 50% of total reservation remains payable to The Collab for cancellations less than 30 days prior to reservation. No cancellations less than 14 days prior to reservation.

ELECTRONIC PAYMENTS

Renter agrees to electronic payments. Hourly rentals are paid in full at time of booking via electronic payment. Monthly rentals are paid via automatic draft on the 1st of every month. Event rentals are paid with a 50% deposit. The remaining balance is paid via autopay 2 weeks prior to the event date.

EXPLANATION OF FEES

The hourly rate is pro-rated and applied to the exact rental time requested in a minimum of 15 minute increments.

The cleaning fee is assessed as a one-time fee per booking, and includes the following as responsibility of the Provider:

  • Vacuuming (no glitter, debris, confetti or excessive crumbs or spills should be left behind by the Renter)

  • Mopping (for sanitation - visible spills should be cleaned by the Renter prior to departure)

  • Sanitation of all surfaces

  • Sanitation and restocking of bathroom(s)

Terms of Use
